Enter courses in Collaborative Class Scheduling (CCS) in PeopleSoft
Processes for scheduling courses have changed due to the PeopleSoft upgrades that took place in 2015. Academic schedulers are required to attend PeopleSoft/Collaborative Class Scheduling training and Astra Schedule training offered through Academic Support Resources (ASR) and the Office of Classroom Management (OCM).
Per the PeopleSoft (PS) upgrade in 2015, Collaborative Class Scheduling (CCS) has replaced the Electronic Course Scheduling (ECS) system. The current, CCS scheduling system now has two scheduling periods, “CCS Open” and “CCS Closed”.

AHC Classroom Services (AHC CS) asks that you follow this scheduling calendar as best you can.
During CCS Open
Department schedulers should update course information in PeopleSoft/CCS during CCS Open (cancel, add, change). College administrators should review department schedules for adherence to OCM’s standard time and course access policies. Although AHC Classroom Services strives to accommodate the special needs of the Academic Health Center’s curriculum, deviations from the standard time blocks may result in inconsistent classroom assignments.
During CCS Closed
College Administrators/Schedulers are not able to update courses in PeopleSoft/CCS during CCS Closed. Scheduling of classrooms via Astra Academics may occur during this time however.
AHC CS Course Scheduling Timeline
Academic Health Center Classroom Services (AHC CS) will begin assigning classrooms as soon as schools have courses set up in PS/CCS, and provide special needs to firstname.lastname@example.org. If you need an AHC CS or OCM classroom scheduled, please keep the facility ID blank in the PS/Astra Academics system. The bulk of AHC course scheduling typically begins as follows:
- Spring Term August of prior year
- May/Summer Term January of current year
- Fall Term March of current year
Request a specific AHC CS Room
Indicate general classroom preferences
CCS may be used to indicate general classroom preferences (required technology, seating arrangements, etc.) but is not able to indicate specific AHC rooms.
If your course does not require an AHC Classroom Services or OCM classroom, please email email@example.com or firstname.lastname@example.org. OCM will assign the appropriate facility ID (e.g AHCROOMTBA or NOROOMREQD).
Courses requiring special technology
Email email@example.com by CCS Open period with special technology needs, such as ITV or Mediasite, as these classrooms are limited.
Final room assignment dates
Weeks before the semester begins, review the Class Search for your department to ensure all classes requiring a classroom have been assigned a room.
Even though a course may be visible in CCS and on OneStop, room assignments are not finalized until a few weeks prior to the semester. If a classroom change is made, the AHC CS scheduler will inform the department scheduler and/or faculty listed for the course.
AHC CS classrooms will be scheduled for events once AHC courses are in place. AHC Schedulers will be informed of this timeline each semester. Event scheduling will further limit the availability of rooms for late changes in courses.
NOTE: Once a classroom has been assigned to a course, if changes to meeting time(s) or enrollments greater than the room capacity are made, the classroom assignment will be removed. Please inform AHC CS or OCM of any changes made in PS/CCS.
